Five reasons for an Microsoft 365 Backup

Many companies that use Microsoft 365 still don't know what Microsoft is responsible for and what they themselves are responsible for in terms of data protection. The following Forrester show us the responsibilities:

Microsoft offers a reliable disaster recovery with its Microsoft 365 solution. However, this solution is not sufficient to protect business-critical data from loss or destruction, as it does not offer protection against accidental deletion, viruses or malware, hackers or ransomware attacks on the user side. This means that users are responsible for protecting their data from these risks. We summarize why business-critical Microsoft 365 data should be additionally protected with a suitable backup solution:

1. Accidental deletion
User errors are among the most common causes of data loss. Often data and conversations are unconsciously deleted or overwritten. If data loss is only noticed after 30 days, the Microsoft Office 365 solution will not protect it without additional backup.

2. Cybercrime
After an attack, it is not always possible to recover data at an exact time. In ransomware attacks, for example, data may be encrypted and rollback may only be possible with the help of a third-party backup solution. In our blog post from 02.12.2019 you can find more information about ransomware threats.

3. Intentional deletion
It happens that dissatisfied employees or employees in a terminated employment relationship deliberately destroy data. With an Microsoft 365 data backup, this data can be restored beyond the 30-day period.

4. legal compliance requirements
According to the Ordinance on Accountancy Records (GeBüV), companies obliged to keep and store the information to be archived in such a way that it cannot be changed without this being ascertainable (GeBüV, Art. 3). It must be possible to inspect and check the stored documents within a reasonable period of time. A backup solution can be used to ensure that legal requirements are met.

5. Software errors
Software errors happen at the software level and are beyond the user's control. To avoid data loss due to software errors, a backup is recommended.
